The College has embarked on a major development in partnership with Liverpool City Council to create RCP North, a centre for clinical excellence. RCP North will provide medical training, examinations, conference facilities, quality improvement and research. . The centre is the result of the RCP’s current strategy, responding to:

Job description:

We have an excellent opportunity for someone with exceptional customer service skills who can also carry out various administration duties for our offices in Liverpool.

You will be the first point of contact for our members, internal colleagues and NHS staff on our reception desk at our Mersey and North West regional office. This will involve meeting and greeting visitors and answering calls.

As part of our team at RCP North you will be required to provide administration support to the Head of Operations and the Deputy Chief Executive. You will be based on the reception desk in the RCP North office Operations Team, meeting and greeting visitors and answering calls and carrying out the administrative tasks for your role.

As our apprentice you will have the opportunity to support specific projects across the team. You will be supported and we will help you do things that expand your knowledge and skills.

You’ll need to be efficient, responsible and highly-organised in this apprenticeship. It’s about hitting the ground running and making that great first impression. Business administration requires skill and attention to detail and you’ll be one of the first faces visitors to RCP North see when they walk in the door, so a polite and professional attitude is a must.

This position will be supported by “on the job” training by a national training provider to achieve an NVQ Qualification; therefore you must be willing to undertake a Business Administration apprenticeship programme and reflective wage.

 

Reports to:

Head of Operations, RCP North

Works closely with:

  • Deputy Chief Executive
  • RCP Departments, Education, Examinations, Care Quality Improvement
  • Mersey & North Western Regional Office,

 

Major responsibilities:

 

Event and Operational Management:

  1. Staff the RCP North office reception greeting visitors to the office.
  2. Maintain accurate visitor records.
  3. Answering incoming telephone calls in a professional, efficient manner, taking and forwarding messages when necessary.
  4. Provide administrative support for Deputy Chief Executive such as arranging meetings, booking travel, booking accommodation and other admin tasks as required.
  5. Inputting RCP North financial records onto the RCP Purchase Order System in a timely manner and maintaining accurate records.
  6. Provide administrative support to the RCP North Head of Operations when required.
  7. Maintaining and updating electronic records (spreadsheets, CRM).
  8. Managing the office supplies – (including stationery and general office supplies).
  9. As required support the delivery of events, exams and meetings at RCP North.

 

General duties:

  1. Any other duties as may be reasonably expected and which are commensurate with the level of the post.
  2. Adhere and comply with the provisions of the RCP’s Health and Safety Policy.

 

Some travel will be required, primarily to RCP London to attend meetings and training.

Qualifications Required:

  • GCSE’s grades A-C or 4-9 in English and Maths are essential plus an IT qualification

Training to be Provided:

Business Administration Level 2 apprenticeship.

This will be delivered through a combination of workplace tutorials, reviews and guided study via a College assessor and work-place training events. The programme will be assessed via professional discussions, completion of a portfolio and use of an online tracking facility (Smart Assessor)

 

Working Week:

35 hours per week – Monday - Friday

Time will be given for ‘off-the-job training’ for the Business Administration course. 20% of the apprentice’s paid working time must be given to ‘off-the-job’ learning and development.

 

Expected Duration: 

12-15 Months from start of course

Possible permanent position within the company

 

Inportant Information:

The new RCP North centre for clinical excellence will be delivered in two phases.

During phase 1 (2017 – 2020), RCP North occupies offices in the William Henry Duncan Building, West Derby Street, Liverpool whilst its purpose-built Centre of Excellence is constructed (phase2). It will enable work to transition to RCP North: including the Mersey and North West regional office, a clinical suite to host exams and simulation, capacity to deliver education and training activities and office space for up to 40 staff.
