Vacancy Description   


To learn how to provide administrative support to a team, and to apply the skills learnt in a busy office environment and the classroom to work towards a NVQ Level 3 Diploma in Business and Administration. The post-holder will be trained to provide professional administrative and executive support within the Principal’s office and wider executive team, including but not limited to the management of information systems, resources, multiple diaries, correspondence and servicing of meetings to deliver a high quality, flexible and consistent service. The post-holder will learn to operate proactively and independently and to exercise a high degree of efficiency and attention to detail in dealing with multiple complex tasks.


The post-holder will frequently act as the first point of contact for a wide variety of internal and external stakeholders, consistently acting as a positive ambassador for the College Group. The post-holder will be an enthusiastic and resourceful team-player with the ability to operate discreetly and develop a customer-focused approach.




The Admin Apprentice will:

Secretarial/administrative functions

Deliver a range of administrative and customer services which may include some or all of the following tasks:


Management of correspondence, complaints and any other queries, including the recording of incoming and outgoing mail, supporting responses and relevant actions, maintenance of office systems in place to ensure timely and appropriate action


Administrative support through word processing, maintaining databases and trackers, creating requisitions, and the production of routine reports and presentations


Diary management of multiple individuals and associated tasks, from basic scheduling to co-ordinating logistics such as travel, itineraries, events management, etc


Servicing high level meetings including the preparation, collation and distribution of agendas and papers; minuting/note-taking; scheduling and co-ordination of attendees


Customer service/quality related

·         Act as first point-of-contact within the Principal’s office, responding to queries or complaints in line with the College’s existing quality standards and procedures and maintaining a high level of customer service within the function

·         Act as a positive ambassador for the College Group, maintaining a professional and positive image within the organisaiton and to external stakeholders

·         Participating in cross-college activities such as enrolment, summer recruitement, exam invigilation etc as required


Finance/security related

·         Support efficient resource management including the requisitioning of office supplies, travel, etc within the Executive Support functions

·         Comply with the College’s financial regulations and other standards for procurement/asset management

·         Ensure the accuracy and confidentiality of information held within the Principal’s office and comply with data protection protocols and relevant policies as appropriate

Essential Criteria Required


Skills Required   

    • Level 2 qualification or relevant experience

    • Good communication skills, oral and written

    • Good computer literacy – ability to use the current IT programs of the College, quick typing speed

    • Good organisational skills – pays attention to detail and follows through

    • High level of discretion

    • Strong interpersonal skills

    • Diary management experience

    • Experience of working with customers or as part of a team in a busy, fast-paced environment

Qualifications Required   

We are looking for someone who has achieved at least 5 G.C.S.E's Grade A-C or equivalent

  • Experience of working in executive support positions
